JOB TITLE: Development Administrative Assistant, Windsor Symphony Orchestra

POSITON TYPE & COMPENSATION: Part-time contract position. 14 hours/week, $22/hour, until December 31, 2024.

REPORTS TO: Executive Director

JOB SUMMARY: The Development Assistant will have a key role in supporting the philanthropic programs of the Windsor Symphony Orchestra (WSO). This position is responsible for executive support of the fundraising and donor stewardship function including: issuing and sending charitable tax receipts, maintain and update donor mailing lists, research, compile and proofread correspondence as needed, draft stewardship letters and emails to donors and prospects, plan and coordinate donor/prospect meetings, assist in the management of the Executive Director’s calendar to coordinate donor meetings, assist with coordination of department projects and supports Executive Director and board members with sponsorship materials and donor contacts. This role also provides support to the Finance Manager in weekly bank deposits, coordinating the payment and receiving of cheques and fulfilling other administrative duties as needed.

DUTIES AND RESPONSIBILITIES:

  • Manage and facilitate tax receipting process.
  • Manage and facilitate stewardship letters such as regular, timely thank-you letters.
  • Prepare donor briefing notes for Executive Director, Music Director and board members.
  • Prepare prospect lists and prospect research when required.
  • Tracks donor pledges and sends payment reminders when required.
  • Tracks in memoriam donations and creates letters to acknowledge these gifts.
  • Assists Executive Director with calendar and bookings for donor meetings.
  • Assists Executive Director with board meetings.
  • Supports Finance Manager with weekly tasks such as processing invoices, reconciling monthly expenses and bank deposits.
  • Additional duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree or college diploma in one of the following disciplines: communications, business, arts administration or finance OR relevant post-secondary degree or diploma plus up to two years of experience in a similar role.
  • Passion for the arts.
  • Detail oriented with a basic understanding of fundraising and administrative duties.
  • Creative problem-solver.
  • Collaborative and eager to work in a team-driven environment.
  • Knowledge of Outlook, Word and Excel.
  • Strong time management skills.
  • Valid Ontario Drivers’ License
  • Permitted to work in Canada

LOCATION OF WORK: Primarily the Capitol Theatre (WSO Office), 121 University Ave W., Windsor, ON

TERM OF AGREEMENT: Six months, up to 14 hours per week, until December 31, 2024.
